: Filter Out Junk E-mail

The ability of Outlook to filter "spam," or junk mail, is excellent. You can easily set your Outlook program to filter junk mail. After the brief set-up, Outlook needs a little time to 'learn' what is and isn't junk.

Follow the directions below to set up junk mail filters in your e-mail program.

  1. Begin by opening Outlook.
  2. Click the "File" menu at the top and you will get a drop-down menu.
  3. Select the "Folder" option and a new menu will pop-up. From this menu, select "New..."
  4. A new window pops open.
  5. In "Folder Name", type in "Junk"
  6. In the box below, click "Local Folders" as the folder in which to create the new folder.
  7. Click the "Ok" button.
  8. Click the "Tools" menu. Select "Message Rules" and then "Mail...."
  9. A small window pops open. Under "1. Select the Conditions for your rule" select "Where the Subject line contains specific words"
  10. Under "2. Select the Actions for your rule", select "Move it to the specified folder"
  11. In the next step you will be clicking the underlined words in "3. Rule Description...."
  12. In "3. Rule Description..." click the underlined words "contains specific words". This will pop open a small window as seen to the right. Under "Type specific words or a phrase, and click Add", type in "Possible Junk Mail" - please double check to make sure this is spelled correctly.
  13. Click "Add"
  14. Click "Ok"
  15. In "3. Rule Description..." click the underlined words "contains specific words". This will pop open a small window as seen to the right. Under "Type specific words or a phrase, and click Add", type in "Possible Junk Mail" - please double check to make sure this is spelled correctly.
  16. Click "Add"

  18. In "3. Rule Description..." click the underlined word "specified" in the sentence that ends "specified folder." A small window will pop open as seen to the right. Here, select the "Junk" folder to Move the item to.
  19. Click "OK"
  20. You will now see a Summary screen showing you that the rule is set up. the Rule Description is shown below to confirm what it will do.
  21. Click "OK" and you are done. From this point on, any messages that the Spam filters believe to be junk will be tagged with the words "Possible Junk Mail" in the Subject line, and your Outlook should now automatically move those messages to your "Junk" folder. You can review the messages that end up in this folder to confirm that they are Junk, in which case you can delete them.
  22. You can set up as many rules in Outlook as you wish, so if you receive messages with specific words in them which you can filter on (i.e. Viagra, or the variant Vi@gr@), you can set up Outlook to automatically delete these messages and not ever see them.
